Rules for maintaining sanitary safety during the Fair (“Rules”)
I. General provisions

1. The rules apply to each Participant of the Fair, ie exhibitors, visitors and other persons staying on the Fair premises.
2. The rules were issued by the organizer of the Fair – Ptak Warsaw Expo sp. Z o.o. based in Nadarzyn, in order to ensure sanitary safety of Fair Participants in connection with the COVID-19 epidemic, and is based on the current guidelines of the Minister of Development and the Chief Sanitary Inspector.
3. In the event of changes to the above-mentioned guidelines or changes in legal regulations The Organizer reserves the right to change the Rules in this regard.
4. Fair participants are absolutely obliged to follow the Rules available at www.bioexpo.pl/covid-19 and will be posted at the entrance to the fair.
5. The Organizer reserves the right to refuse entry to the Fair if the number of Participants exceeds the permitted number of people.
6. The rules apply to both external and internal spaces of the Fair.
7. In the event of non-compliance with the provisions of these Rules, the Organizer reserves the right to request the Participant to leave the Fair area immediately.
II. Ensuring the safety of employees / people providing services at the fair
1.An employee who could be exposed to SARS-CoV-2 infection outside the place of service is obliged to immediately report it to the employer by phone and notify the epidemiological station, until the examination and decision is made, he should refrain from participating in the fair.
2. A procedure for conducting and documenting an epidemiological interview is being introduced, in particular regarding the absence of disease symptoms in the employee / service provider and the lack of contact with a person who had visible disease symptoms or was exposed to an infected person.
3. Internal meetings and deliberations are conducted with open windows or doors and with a distance of at least 1.5 meters between people.
4. Personal protective equipment was provided for employees / service providers (masks, disposable gloves), as well as preparations for disinfecting hands..
III. Rules for ensuring safety during the Fair
A. Exhibition areas
1.There is a change in the organization of exhibition spaces (external and internal) by extending the communication routes between the exhibition stands to a minimum width of 3 meters.
2. There is a restriction on the number of people who can stay on the premises of the Fair to no more than 1 person per 2.5 m2 of space available to participants, with the exception of the service of the Fair and exhibition stands.
3. Online sale of admission tickets is introduced, broken down into individual days, which is the method recommended by the Organizer.
4. Exhibitors, media and visitors registration systems were introduced.
5. The obligation to cover the mouth and nose (with a mask, visor or other material) was introduced.
6. It is recommended that gloves be worn by each Fair Participant.
7. The possibility of obtaining disposable masks at the Fair was introduced.
8. Installing an appropriate number of containers with a disinfectant at all entrances, toilets and other public areas.
9. It is forbidden to distribute leaflets and such activities on the Fair premises that could favor the formation of groups of people. It is recommended to place advertising materials on stands..
B. Entry and exit area
1. Only authorized persons and persons with admission documents will be admitted to the Fair, i.e. registered exhibitors, registered visitors, media, staff and service personnel.
2. Separate communication routes have been established for Fair Participants – one for people entering the Fair premises, the other for people leaving, in order to minimize close contact between them.
3. For guests waiting to enter the Fair premises, queue zones are separated to enter through lines and stickers showing directions, so that the distance between people is at least 1.5 m.
4. Non-contact forms of verification of entry documents are introduced in the entry and entry zones.
5. A people counting system is being introduced, which will enable the verification of the number of people present at the Fair grounds and allow for blocking the entrance if the permitted number of people is exceeded.
6. In the entry zones, checks will be carried out to make sure that people entering the Fair premises wear a mask and put on gloves, if required by applicable law.
7. In the entry zone, a non-contact, mandatory measurement of body temperature has been introduced, if required by the applicable legal regulations.
8. A closed, isolated and properly disinfected room for people with symptoms of infection was prepared. Medical workers working in this room were adequately protected.
C. Customer Service Points (reception desks, trade fair offices)
1. The number of service points has been limited to the necessary minimum and the online service has been introduced as much as possible.
2. Service points are equipped with plexiglass covers, unless it is possible to keep a safe distance of 1.5 m.
3. Only workers after body temperature control, with their consent, equipped with protective masks / helmets and gloves, are allowed to work.
4. Safe zones of the queue to service points have been prepared, in which the waiting persons are separated by a minimum of 1.5 meters from each other. There are designated places (through tapes, posts or stickers on the floor) for people waiting for service to stop 1.5 meters from the operator.
5. The surfaces of the reception desks at the service point are disinfected at least every hour.
6. It is recommended to make cashless settlements. Payment terminals are covered with foil and their disinfection takes place at least every hour.
D. Exhibition stands and visitor areas
1. The number of available seats on the Fair grounds has been organized so as to maintain a distance of at least 1.5 m.
2. During the assembly and disassembly of the stands, the bodybuilders and suppliers are obliged to follow the safety rules applicable to them in accordance with the applicable regulations and recommendations of the Chief Sanitary Inspector.
3. It is obligatory for the Exhibitors to provide their stands with appropriate personal protective equipment for the staff and disinfectants available for visitors to the stand.
4. Exhibitors are advised to make the materials available to trade fair visitors only online (eg on screens, online files).
5. The Exhibitor is recommended to adjust the number of available seats at the stand by introducing special solutions that allow a distance of at least 1.5 meters between these seats.
6. It is forbidden to serve meals and drinks at exhibition stands, except for those packed in factory packaging or served directly from the dispenser into disposable dishes. Disposable tableware should be packed separately and served each time to a person who wants to use them. Countertops with meals or drinks should be disinfected at least once every 1 hour.
E. Catering spaces
1. Preparation of the functioning of gastronomic spaces (including restaurants) takes place in accordance with the current safety rules in this type of facilities.
2. Providing a safe space for guests waiting to enter catering spaces (including restaurants) takes place while maintaining safe distances of at least 1.5 meters.
F. Environmental hygiene and safety measures
1. The cleaning service is obliged to act in accordance with the hygiene maintenance plan.
2. An adequate number of hand hygiene devices and alcohol-based products were provided in the places where the Participants were present, e.g. at the reception desk, in toilets, in front of catering spaces, etc.
3. The personnel serving the Fair was trained in the principles of the sanitary and safety regime while the participants were on the Fair premises.
4. Regular, at least every 2 hours, cleaning and disinfection of frequently touched infrastructure elements is carried out: door handles, handrails, balustrades, countertops with the use of disinfectants.
5. Rubbish and waste are stored in containers that are regularly cleaned and disinfected.
6. Regular ventilation is carried out in the rooms and spaces where the Participants are staying.
7. All toilets were equipped with liquid soap and disposable paper towels, as well as disinfectant liquid. The condition of the assortment in the toilets and the condition of the toilets are regularly checked. Control cards were introduced, with the service frequency every hour.

G. Communication with guests
1. During the Fair, intensified information campaigns are undertaken regarding the safety rules applicable to Fair Participants.
2. During the Fair, communication is conducted (via the sound system or audiovisual systems) about the limitation of the number of people allowed to stay at the fairgrounds at the same time, keeping the distance between other people, the obligation to avoid crowds and compliance with hygiene rules.
3.Educational materials (in the form of posters, boards on screens or instructional videos) on hand hygiene and behavior when sneezing or coughing (toilets, customer service points, entrance areas) and maintaining an appropriate distance with others were placed in prominent places on the Fair grounds. people and avoiding handshakes.
4. An emergency telephone number has been activated, information on the emergency number and the rules of using this number have been placed in visible places.
H. Preventive Procedures: Employees / Service Providers Suspected of Coronavirus
1. Employees, exhibitors and service providers are required to complete a health declaration.
2. Employees / persons providing services were instructed that in the event of disturbing symptoms they should not come to work, stay at home and call the sanitary and epidemiological station, infectious diseases ward, and in the event of deteriorating health, call GIS 22 500 115 or 999 or 112 and let you know that they may be infected with the coronavirus.
3. It is recommended to follow the information of the Chief Sanitary Inspector and the Minister of Health, available at gis.gov.pl or www.gov.pl/web/koronawirus/, as well as the applicable provisions of law.
4. In the event of disturbing symptoms suggesting coronavirus infection at an employee performing his tasks at the workplace, he will be immediately removed from work and sent home by individual transport. The relevant local poviat sanitary and epidemiological station will be notified of this fact, the instructions and orders of which must be strictly followed.
5. An employee with disturbing symptoms will wait for transport in a designated room where it is possible to temporarily isolate him from other people.
6. The organizer will take steps to determine the area where the employee or other person has moved and stayed, will carry out routine cleaning in accordance with the company’s procedures and disinfect the touch surfaces (handles, handrails, handles, etc.).
7. The organizer follows the recommendations of the County Sanitary Inspector in determining whether additional procedures should be implemented, taking into account the case.
I. Procedures to be followed in the event of a suspected coronavirus infection in a person
1. If you notice symptoms of coronavirus infection, immediately go to the Medical Center and notify the Fair staff about this fact.
2. If you notice a person who has symptoms of coronavirus infection or is suspected to be infected, the Fair staff should be informed immediately.
3. People who have symptoms of coronavirus infection will undergo a health assessment by a medical professional.
4. After assessing the health condition of the person, the person from the medical service makes a decision whether or not to transport the person to the Infectious Ward of the appropriate hospital. To this end, the Fair staff will take appropriate steps, including calling the GIS emergency number 22 500 115 and contacting the hospital.
5. The President of the Management Board of Ptak Warsaw Expo sp.z o.o. will be immediately notified of the situation. and the State County Sanitary Inspector.
6. The organizer will try to establish a list of people present at the same time at the Fair, including exhibition stands, and recommends to follow the guidelines of the Chief Sanitary Inspector available at gov.pl/web/koronawirus/ and gis.gov.pl relating to to people who had contact with the infected.
7. Thoroughly disinfect the spaces where the infected person has been (indicating that we are not sure if the person was already infected at the time the service was provided) and disinfect the tools that were used during the provision of the service.
IV. Visitor Policy
1. If you notice symptoms of coronavirus infection, immediately go to the Medical Center and notify the Fair staff about this fact.
2. If you notice a person who has symptoms of coronavirus infection or is suspected to be infected, the Fair staff should be informed immediately.
3. People who have symptoms of coronavirus infection will have their health assessed by a medical professional.

7. Thoroughly disinfect the spaces where the infected person has been (indicating that we are not sure if the person was already infected at the time of the service) and disinfect the tools that were used during the service provision.
V. Rules for Exhibitors
11. A Fair Participant who is an exhibitor is obliged to:
1) Completing a health declaration
2) control the number of people present at the stand so that it does not exceed 1 person per 2.5 square meters of the stand
3) verify that the people at the stand have their mouth and nose covered
4) notify the Organizer in the event of noticing symptoms of a respiratory disease in people staying at its stand
5) refrain from distributing leaflets or other paper-based materials
6) to refrain from organizing activities that would favor the formation of clusters of people
7) admitting to work only employees after carrying out body temperature control and equipping them with masks / helmets and protective gloves, if required by law or recommendations of the Chief Sanitary Inspector
8) checking that workers are wearing masks / visors
9) disinfecting counter surfaces and other surfaces that are touched at least every hour
10) designation of seats in such a way that a minimum distance of 1.5 m between them is kept
11) place disinfectants available to visitors to the stand
12) storing rubbish and waste in containers that are regularly cleaned and disinfected
13) complying with the current guidelines of the Chief Sanitary Inspector and the provisions of the law on sanitary safety.

Rules for visitors to trade fairs at PTAK Warsaw Expo
1. Filling in a declaration regarding the province of residence.
2. Maintaining social distance, min. 1.5 m.
3. Avoiding close contact such as handshake and pooling.
4. Avoiding gathering in traffic routes.
5. Online ticket purchase recommended.
6. Using a payment card for all purchases at the fair.
7. Non-contact temperature measurement of fair participants in the entrance area. * if recommended by GIS
8. Frequent hand washing or disinfection with available preparations located in the entrance area, toilets and other generally accessible areas.
9. The obligation to cover the mouth and nose * also applies to outdoor events
10. Moving in accordance with designated communication routes.
11. Eating meals only in designated places.
12. Notification of the fair staff in case of malaise.
13. Compliance with the trade fair operating guidelines.

Rules for exhibitors during the fair at PTAK Warsaw Expo
1. Filling in the declaration regarding the health condition of the employees of the exhibition stands and service.
2. Admitting to work at the stand only employees after body temperature control, with their consent, and equipped with protective masks / helmets and gloves, if it is still required by applicable law or GIS recommendations.
3. Adjusting the number of available seats for visitors at the stand by introducing special solutions that allow a distance of at least 1.5 meters to be maintained in accordance with current safety rules.
4. During the assembly and disassembly of the stands, compliance with the safety rules applicable to bodybuilders and suppliers, in accordance with the currently applicable regulations and GIS recommendations.
5. The Exhibitors’ obligation to provide the stands with appropriate personal protective equipment for personnel and disinfectants.
6. Issuing recommendations to exhibitors that, as far as possible, materials for trade fair visitors should be available only online (eg on screens, files transferred online).
7. Issuing recommendations to exhibitors to remind visitors at the stands of the obligation to cover their mouth and nose as much as possible.
8. Providing a safe space for guests waiting in the queue to approach the stand, so that the distance between people is at least 1.5 m.
9. Maintaining social distance, min. 2 m when moving around common areas.
10. Avoiding close contact, such as shaking hands and gathering at the exhibition stand.
11. Avoiding clustering in traffic routes.
12. Frequent hand washing or disinfection with available preparations located in the entrance area, toilets and other generally accessible areas.

This information applies to the personal data of all persons participating and staying on the premises of the Fair, including as visitors, exhibitors, employees, associates of exhibitors at the Fair (hereinafter referred to as “Partners”), organized with the company PTAK WARSAW EXPO sp. Z o.o. with headquarters in Nadarzyn (05-830), Al. Katowicka 62, KRS 0000671001, which is the administrator (hereinafter referred to as the “Administrator”) of the Partners’ personal data (hereinafter referred to as “Personal Data”).

Personal data will be processed in accordance with the EU Regulation 2016/679 of 27 April 2016 and Polish regulations adopted to enable the use of the above-mentioned. Regulations (hereinafter referred to as “GDPR”). Providing Personal Data by the Partner is a contractual requirement and necessary to participate in the Fair or enter its premises. Providing the data is voluntary, but refusal to provide it results in the inability to enter the Fair premises or the inability to implement concluded contracts related to the Fair.

Detailed rules for the processing of Personal Data are presented below.

The Partner declares that he will inform his employees, associates and persons acting on his behalf about the validity of this information clause and will make its content available to them.

1. Purposes and legal grounds for the processing of Personal Data

Personal data will be processed by the Administrator for the purpose and scope necessary to fulfill the legal obligation imposed on PTAK WARSAW EXPO sp.z o.o. recommendation of the Chief Sanitary Inspector (concerning:

i. collecting statements that, to the best of the Partner’s knowledge, the Partner is not an infected person and is not in quarantine or under epidemiological supervision;

ii. registering all fair participants in order to obtain data of people present at the fair

iii. establishing a list of guests and other external people (if possible) present at the same time in the designated area during the Fair in which the Partner participated

iv. conducting communication by e-mail, text message or telephone to identify people who may have come into contact with infected COVID-19.

The basis for the processing of personal data for these purposes is:

  1. protection of the vital interests in the form of health and life of the data subject or other persons pursuant to Art. 6 sec. 1. lit. d GDPR

     

  2. fulfillment of legal obligations imposed on the Administrator, art. 6 sec. 1 lit. c GDPR
  3. processing is necessary for reasons of public interest in the field of public health pursuant to Art. 9 sec. 2 lit. and GDPR

2. Categories of Personal Data processed

For the purposes indicated in point 1 The Administrator will process the following Categories of Personal Data:

  1. identification data of the Partner and his employees, associates and persons acting on his behalf, i.e .:

i. name, surname

ii. contact details: e.g. e-mail address, telephone number, home address.

3. Recipients of Personal Data

Access to Personal Data may have:

  1. employees, associates and persons acting on behalf of the Administrator;

     

  2. entities entrusted by contract with the processing of Personal Data for the purposes of providing services provided to the Administrator, in particular: entities operating IT systems, associates or providing ITtools or entities conducting postal and courier activities;
  3. entities cooperating with the Administrator in handling legal matters and their employees;
  4. sanitary services, in particular the Chief Sanitary Inspector, in order to implement his guidelines, and other competent sanitary services conducting epidemiological investigations in the event of detection of a COVID-19 infection during the Fair;
  5. other entities authorized to obtain data on the basis of applicable law.

The persons and entities indicated above have the right to access Personal Data only to the extent necessary for the proper performance of the tasks entrusted to them.

4. Confidentiality

All persons authorized to process Personal Data are obliged to maintain the confidentiality of data and protect them against disclosure to unauthorized persons.

5. Period of storage of Personal Data

Personal Data will be processed for the entire period necessary to achieve the goals set out in point 1, but not longer than 21 days.

6. Rights related to the processing of Personal Data

  1. Personal data of persons indicated in point 1 will not be transferred to a third country or an international organization within the meaning of the GDPR;

     

  2. Based on the personal data of the persons referred to in point 1, the Administrator will not make automated decisions, including decisions resulting from profiling within the meaning of the GDPR.
  3. The data subject may exercise the following rights against the Administrator:
  1. the right to request access to your Personal Data and obtain information about their processing, and if they are incorrect, you have the right to request their rectification (in accordance with Articles 15 and 16 of the GDPR);

     

  2. may request the restriction of the processing of his personal data for the period of verification of their correctness or pending consideration of his objection to the processing of Personal Data. This right is also available in a situation where, in the Partner’s opinion, the processing of his data is unlawful, but he does not want the data to be deleted immediately or if the data is needed for him longer than the assumed processing period, due to issues establishing or defending claims (in accordance with Article 18 of the GDPR);
  3. the right to request the deletion of Personal Data processed (in accordance with Article 17 of the GDPR);
  4. the right to transfer your Personal Data (in accordance with Article 20 of the GDPR);
  5. the right to transfer Personal Data in accordance with art. 20 GDPR, i.e. to receive from the Administrator your personal data in a structured, commonly used machine-readable format (by a computer), as well as to request their transfer to another data administrator; This right applies only to data provided to the Administrator by the Partner, which are processed in connection with the performance of the contract and are in electronic form;
  6. persons referred to in point 1, in connection with the processing of their personal data, have the right to lodge a complaint with the competent supervisory authority;
  7. the right to object at any time to the processing of his Personal Data for reasons related to his particular situation, if the data is processed by the Administrator as part of the implementation of its legitimate interests referred to in point 1 lit. b and c (in accordance with Article 21 (1) of the GDPR).

7. Information clause for employees and associates of the Partner

  1. The administrator declares that he is the administrator of personal data within the meaning of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and the repeal of Directive 95 / 46 / EC, hereinafter referred to as GDPR, in relation to personal data of natural persons representing the Partner and natural persons indicated by the Partner as contact persons and other persons responsible for negotiating or performing the contract regarding participation in fairs, if such have been indicated.

     

  2. The Administrator declares that in terms of personal data provided by the Partner, referred to in paragraph 1 above:
  1. the legal basis for the processing of personal data is indicated in point 1.

     

  2. personal data referred to in sec. 1 may be transferred to the entities indicated in point 3.
  3. personal data of persons referred to in sec. 1, will be processed for the period specified in point 5.
  4. the persons referred to in sec. 1, you have the right to request the data administrator to access their personal data, rectify them, delete or limit processing or object to their processing;
  5. the persons referred to in sec. 1, in connection with the processing of their personal data, you have the right to lodge a complaint with the competent supervisory authority;
  6. based on the personal data of the persons referred to in sec. 1, the Administrator will not make automated decisions, including decisions resulting from profiling within the meaning of the GDPR.
  7. The partner undertakes to inform the persons referred to in sec. 1:
  1. on the scope of personal data concerning these persons provided to the Administrator;

     

  2. who is the administrator of their personal data and that they process their personal data on the terms set out above
  3. about the fact that the Partner is the source from which the Administrator obtained their data.

8. Contact with the Administrator

In matters related to the processing of Personal Data and the implementation of the rights of the Partners to whom these data relate, you can contact the Administrator via e-mail (contact: rodo@warsawexpo.eu.), By correspondence (to the address of the Organizer’s office) or in person at the Organiser’s seat. A partner who has submitted an application or request regarding the processing of his Personal Data, as part of exercising his rights, may be asked to answer a few questions that will allow him to verify his identity.

In addition, the Data Subject has the right to lodge a complaint at any time against the processing of his Personal Data by the Administrator to the President of the Personal Data Protection Office.
